Several QuickBooks users can simultaneously work on the same company file. But for this, these users need to be added to the QuickBooks account. Notably, a maximum of three users can be added in QuickBooks Pro, while as five users can be added in the QuickBooks Premier.

Procedure to add User License in QuickBooks Desktop 

Step 1: Check the number of QuickBooks user licenses 

First you need to know the number of user licenses. For that, do the following:

  • Press F2 key in QuickBooks. This opens Product information window.

 

  • Check the number of user licenses listed and take a note of them.

Step 2: Check pricing for adding users

  • At first, the user need to go to the Help menu.
  • After that hit a click on Manage my license.

 

  • Here, you can check the price related information. 
  • Now click on Add seats to check the current prices.

Step 3: Buying additional user licenses in QuickBooks Desktop

If you want to buy more user licenses, perform the following steps:

  • Run QuickBooks, then go to Help.
  • Click on Manage my license and after that, choose the option to purchase an additional user license.

 

  • If it is not available, it means the user limit is already reached and cannot be extended any further.
  • Now, you need to choose between going for the purchase through Online mode or phone. To use the phone option, getting in touch with Intuit is requisite. In the Online mode, on the other hand, choose the number of user licenses to purchase.
  • After that, set up QuickBooks on other systems in lieu of the purchased licenses. For registration and activation, the same license should be used.
  • License information can be edited by clicking on Help, and then Manage my license option.
  • You can manually update new license information.
